Available for Basic Payroll using direct deposit, and Full Service Payroll
If you are using direct deposit or a a Full service Payroll customer, you will need to verify your bank account information in order for Patriot Software to debit your bank account for taxes. In most cases, Patriot’s instant bank account verification will get you set up. However, some banks and credit unions are not included in the list of financial institutions that can be instantly verified. In this case, you will need to manually enter your bank account information.
Important! You will need a business or commercial bank account to use direct deposit or Full service payroll.
There are some banks and credit unions that are not included in the list of financial institutions that can be recognized by Plaid for instant bank account verification. In these cases you will need to enter you bank account information manually and look for a test deposit and withdraw from Patriot.
Step 1: Enter a New Bank Account
Go to Settings > Payment Settings > Bank Account Info.
Click the “Manually enter your bank information,” if you are entering a bank account for the first time.
Click the edit link beside the Current Bank Account info if you are updating your bank account information.
Enter your 9-digit bank ABA Routing Number, Account Number, and Account Type (checking or savings)
Check the agreement box to authorize Patriot to deposit and withdraw a small amount to verify your bank account access.
Click Update Bank Account.
Patriot will deposit and withdraw a small amount (test pennies) to verify we can deposit and withdraw from the bank account you provided.
Write down the amount of the deposit and withdraw Patriot used to test the bank account and verify the account by entering the amount in Patriot.
If you have a debit block on your account, please be sure to whitelist Patriot’s ACH ID.
The software will notify you for the expected date of the deposit and withdraw (usually the next banking day, as long as you entered your account info before 8 p.m. Eastern Time).
Step 2: Verify the Business Bank Account
After you enter your business bank account information, Patriot will send a small test transaction to the account. The transaction includes both a deposit and a withdrawal for the same amount.
Check your bank account activity.
Call your bank or log in to your online banking account to view your account activity.
Look for the Patriot verification transaction.
The transaction will appear as “Patriot Software ACCTVERIFY.”
You may see something like this:
Patriot Software ACCTVERIFY $0.53 as a deposit
Patriot Software ACCTVERIFY -$0.53 as a withdrawal
Confirm the test amount.
The deposit and withdrawal will be for the same amount and will happen on the same date.
Do not add the deposit and withdrawal together. You only need to enter the single amount that was both deposited and withdrawn.
For example, if you see a $0.53 deposit and a -$0.53 withdrawal, enter 0.53.
Log in to Patriot Software.
After the test transaction is complete, you may see a pop-up asking you to enter the verification amount.
Enter the test amount.
Enter the amount in the field provided.
For amounts under $1.00, enter a zero before the decimal. For example, enter 0.53, not .53.
Use the Bank Account Info page if needed.
You can also enter the test amount by going to:
Settings > Payment Settings > Bank Account Info
Complete the verification.
After you enter the correct amount and any other required information, your business bank account will be verified. You can then run payroll.
If you enter the wrong amount, try again.
Patriot gives you three total attempts to enter the correct amount.
If you enter the wrong amount, you will have two more chances. After three incorrect attempts, you will need to re-enter your bank account information to start a new verification.
If you do not see the test transaction after three banking days, restart the verification.
Go to the Bank Account Info page, cancel the pending verification, and re-enter your bank account information to start a new verification.
If more than 60 days have passed, restart the verification.
If you have not verified your account within 60 days, you will need to re-enter your bank account information and begin the verification process again.
Step 3: Upload Documents
You may need to upload a copy of your commercial/business bank account statement for Patriot to verify your account as well. We’re sorry but we cannot accept personal bank accounts.
Occasionally you will need to upload a proof of Federal EIN: If our team is not finding your information or finding conflicting information using our third-party identification tools, you may be asked to upload documentation confirming your 9-digit business federal employee identification number.
If you do not have a bank statement showing that the bank account is a commercial bank account, you can submit a letter from your bank. The letter should be on bank letterhead and contain the following:
Bank name
Company name/owner’s name
Account type and account number
Date
Name and phone number of banker signing the letter
To change your bank account later, you will follow the same steps.
