How to Assign and Edit Work Locations to Employees

Learn how to assign employee work locations or indicate how an employee's residence is their primary work location.

If your business has more than one work location, you can create multiple work locations and assign a location to each employee, to correctly calculate payroll taxes.

Additionally, work locations also determine state unemployment rates, which are crucial for accurate payroll processing.


How To Assign Work Locations to an Employee

You can easily assign employee work locations to ensure proper reporting and taxes.

Assign a Work Location to Employees Primarily Working at an Office Location

Before you assign a physical work location to an employee, you must first set up your work locations at the company level. For more details, see Managing Company Work Locations.

  1. Go to Payroll > Employee List > Employee Name

  2. Click the Employee Info tab

  3. Click the Work Locations section

  4. If you have not added multiple work locations at the company level, you will not see the Work Location dropdown on the employee’s record.

Ensure that employees are not tied to a P.O. Box or incorrect location. Assign them to a valid physical work location to avoid payroll processing errors.

Assign a Work Location to Employees Who Primarily Work from Home

For employees who primarily work from home, you do not need to create a new work location for each home address.

  1. Go to Payroll > Employee List > Employee Name

  2. Click the Employee Info tab

  3. Click the Work Locations section.

  4. Select Yes to the question “Does this employee primarily work from home?” Their home address will be used to determine state and local taxes that need to be withheld.


How to Add or Edit an Employee Work Location

You do not need to add locations for employees who work from home. There is a setting on the employee record to indicate home addresses are the work location.

Make sure your work location is entered on the company level.

  1. Go to Settings > Company Settings > Manage Locations

  2. Click the Company tab.

  3. Click Add a New Location

  4. Click Save

  5. Assign the work location to your employee on the same page: Settings > Company Settings > Manage Locations

  6. Click the Employee Locations tab

  7. Click the Edit icon on the row of the employee name

  8. Select new location from the dropdown.

  9. Click Save.

    Once you make a change, any payrolls run will use the most recent work location to calculate taxes.
