Customer Payment History Report

Learn how to use the Customer Payment History Report in Patriot Accounting Software.

Available to Accounting Basic, Accounting Premium

The Customer Payment History Report shows all payments made by customers to you. The report shows the Invoice Number, Invoice Date, Items on the invoice, the amount of payment applied for each item, and the payment type (credit card, check, etc.).

You can also view a list of payments from an individual customer under their customer record. Go to ​Accounting > Receivables > Customers > Customer Name > Payments


How to Use the Customer Payment History Report

  1. Go to Reports > Accounting > Customer Reports > Customer Payment History.

  2. You can filter the report by customer and payment date, and payment type.

  3. Click Run Report.

Handy links at the top of the report to Record a Payment and Create an Invoice will redirect you to the correct place in the software.You can click Download Spreadsheet to download a .csv file that you can open in Excel with your payment history information, or download a PDF.


How to Edit a Payment from the Customer Payment History Report

  1. Go to Reports > Accounting > Customer Reports > Customer Payment History.

  2. Click “Edit” at the bottom of the payment detail to edit the customer payment information if needed. You will be directed back to the customer’s payment page to make your changes.


How to Void or Delete a Customer Payment from the Customer Payment History Report

  1. Go to Reports > Accounting > Customer Reports > Customer Payment History.

  2. To void a customer payment, click “Void” at the bottom of the payment detail. The voided payment will still appear on the Payment History Report. See Voiding a Customer Payment for more information.

  3. You can delete a customer payment by clicking “Delete” at the bottom of the payment detail. The deleted payment will no longer show on the Payment History Report.


How to Refund a Stripe Customer Payment from the Customer Payment History Report

Only payments that have been paid through Stripe will have a refund link.

To issue a partial refund, process it through your Stripe Dashboard; Your accounting software will automatically record the correct partial refund amount.

  1. Go to Reports > Accounting > Customer Reports > Customer Payment History.

  2. Find the customer payment by using the filters in the report.

  3. Click Refund at the bottom of the payment detail for the payment you want to refund.

  4. Click “Yes” to confirm “Are you sure you want to refund this payment?” This creates a Customer Refund transaction and processes the refund through Stripe.

  5. Once the refund is confirmed, the Refund button is replaced with a confirmation message showing “Refunded $X.XX on {date}” — you’ll see this message whether the refund was initiated here or processed directly through Stripe.

Stripe does not charge a separate, additional fee to process a standard refund. However, Stripe does not return the original payment processing fees when you issue a refund to a customer.

In the event that Stripe refunds your transaction fee and you have opted in to automatically record Stripe fees you will see a credit the Stripe Fee Expense Account (or whichever account is used for Stripe processing fees.)
