Edit a Pay Schedule

Learn how to make changes to a pay schedule

Available to Basic Payroll, Full Service Payroll


Patriot will automatically group your employees in a pay schedule based on the pay frequency you select. After you have completed your first-time setup and customized your pay schedule, you can still edit most Pay Schedule fields.


How to Edit an Existing Pay Schedule

  1. Go to Settings > Payroll Settings > Pay Schedules.

  2. Click on the name of the schedule you want to edit.

  3. Update the name, pay period, or pay date as needed.

    • Accountant partners: on the Pay Schedule Report for clients, the “Last Run Payroll” column will be cleared for the client after the dates are edited.

  4. Click Save.


What Can I Edit and When: Pay Schedule Restrictions

Pay Periods

You can edit the Pay Period dates for any pay schedule, even if it has been used in a payroll, as long as no timecards have been submitted for that pay schedule (only applicable to Time customers). To avoid erasing and closing the current time card, wait until the last working day of the current pay period before switching to a new schedule.

Editing the pay period dates impacts two things:

  1. On Payroll Step 1, the default pay period chosen will be based on today’s date and the new pay schedule dates. If you’re behind or ahead on payrolls, you may need to make a change.

  2. On the Pay Schedule Report (only available to partners), the “last run payroll” column will be cleared for the client after the dates are edited.

Pay frequencies

Once employees have been assigned to a pay schedule, you cannot change the Pay Frequency. If you need to adjust the pay frequency after employees have been assigned, you’ll need to create a new pay schedule and re-assign it to employees on the individual employee profile as needed.


Why can’t I edit the “Pay Frequency” or the “Pay Period” dates?

  • Can’t edit Pay Period dates: If you have the time and attendance software and have used a time card with the existing pay period dates, you need to create a new pay schedule.

    • To avoid erasing and closing the current time card, wait until the last working day of the current pay period before switching to a new schedule.

  • Can’t edit pay frequency dates: In cases where you need to adjust the pay frequency you must create a new pay schedule and re-assign pay schedules to employees as needed.
