The contractor portal is a free feature available with all Patriot payroll and accounting software plans. It gives 1099 contractors a secure, self-service space to view payment history, manage direct deposit banking information, view and update personal information, and access their Form 1099 electronically.
Contractors access the portal at www.mypatriot.com, where they create their own unique username and password. As the client, you will not have access to contractor usernames or passwords.
Send a Contractor Portal Invitation
You can send a registration invitation email to each contractor directly from your Patriot account. The invitation comes from [email protected] and includes a link the contractor uses to register.
Important: The registration link is valid for 7 days. If a contractor does not register within that window, you will need to resend the invitation.
From Payroll Software
For new contractors:
Go to Payroll > Contractors > Add Contractor.
Enter the contractor's information, including their email address.
Check the Send Portal Invite box.
For existing contractors:
Go to Payroll > Contractors > Contractor List.
If an email address is already on file, click Send Invite.
If no email address is on file, you will be redirected to the Contractor Portal tab on their record. Enter the contractor's email address, click Save, then click Send Invite.
A green confirmation message reading "Contractor Portal Invitation Sent!" will appear at the top of the page.
From Accounting Software
For new 1099 contractors:
Go to Accounting > Payables > Vendors.
Click +Add New.
Enter the contractor's information, including their email address.
Check the Send Portal Invite box.
For existing 1099 contractors:
Go to Accounting > Vendors.
Click Send Invite.
If no email address is on file, you will be redirected to the Contractor Portal tab on their record. Enter the contractor's email address, click Save, then click Send Invite.
A green confirmation message reading "Contractor Portal Invitation Sent!" will appear at the top of the page.
Note: Only vendors set up as 1099 contractors have access to the contractor portal. On the contractor record, confirm that Create 1099 at Year End is checked. Vendors without this option checked will display N/A in the portal registration column and will not have a Contractor Portal tab on their record.
View Contractor Portal Registration Status
You can check the registration status for all contractors from the contractor or vendor list.
Payroll: Go to Payroll > Contractors > Contractor List. The last column is Portal Registration.
Accounting: Go to Accounting > Payables > Vendors. The last column is Portal Registration.
Portal registration statuses are:
Send Invite — The contractor has not yet received an invitation. Click Send Invite to go to their record and send the email invitation.
Invite Sent — An invitation has been sent, but the contractor has not yet registered.
Invite Sent (Expired) — An invitation was sent but expired before the contractor registered. Go to the Contractor Portal tab on their record and click Resend Invite.
Complete — The contractor has registered and has active portal access.
N/A — Displays for vendors who are not 1099 contractors.
Resend a Contractor Portal Invitation
If a contractor has not yet registered, you can resend the invitation email from the contractor or vendor record.
Go to Payroll > 1099 Contractors > Contractor List and click the contractor's name, or go to Accounting > Payables > Vendors and click the contractor's name.
(Optional) If you need to update the contractor's email address first, click the Info tab, click Edit, update the email address, and click Save.
Click the Contractor Portal tab.
Click Resend Invite.
Contractor Portal Forgot Password or Forgot Username
Once a contractor's portal registration status is Complete, the Resend Invite option is no longer available. If the contractor has trouble logging in, they can recover their username or password directly from www.mypatriot.com using the Forgot Username or Forgot Password links.
Recovery emails are sent to the email address on the contractor's record. To look up which email is on file, open the contractor's record and view their personal information.
Reset a Contractor's Multi-Factor Authentication (MFA)
When contractors register for the contractor portal, they are required to set up two forms of multi-factor authentication (MFA), such as email or phone verification.
If a contractor loses access to both their MFA methods, they will need you to enable account recovery before they can log in again.
To enable account recovery:
Go to the Contractor Portal tab on the contractor's record.
Click Toggle MFA Recovery.
MFA Recovery remains active for 3 days and can be turned off at any time.
Once MFA Recovery is enabled, the contractor can:
Log in using their username and password at www.mypatriot.com.
Select I need to recover my account.
Choose how to receive their MFA code.
Answer questions about their personal information. They have one attempt to answer correctly.
If the contractor answers correctly: Their MFA is reset, and they will be prompted to set up two new MFA methods.
If the contractor answers incorrectly: Account recovery is disabled, and the contractor will receive instructions to contact you. You can re-enable MFA Recovery from the Contractor Portal tab on their record.
