Available for: Accounting Premium only
Patriot's Receipts and Documents feature lets you upload copies of receipts and other files, then attach them to specific transactions in your Accounting Premium account for easy reference.
If you have added users to your account, access to this feature is permission-based.
Video Walkthrough
A video tutorial is available for this feature. The sections below cover the same steps in full.
Upload a Receipt or Document
In the main Accounting menu, go to Receipts & Documents.
Click Upload Documents.
Search for the file on your computer and click Upload.
You can upload multiple files at once by holding Ctrl, selecting all the files you want, and dragging and dropping them into the upload area. Accepted file types include .pdf, .jpg, and .png.
Uploaded files will appear in your documents list.
Manage Your Documents List
By default, the list shows documents uploaded in the past 30 days, sorted by most recent. You can:
Sort by any column by clicking the column header
Change the date range using the filter at the top of the page, then click Search
Edit a document's description by clicking the description field
Delete a document by clicking the trash can icon
If a document has already been linked to a transaction, a Show Transactions link will appear in that row. Click it to see which transactions are connected to that document.
Attach a Document to a Transaction
You can attach receipts and documents to the following transaction types:
General Ledger entries
Customer Invoices (when creating or viewing invoice detail)
Vendor Bills
Automatic Imported Bank Transactions
Manual Imported Bank Transactions
Journal Entries
Deposits and Withdrawals
How to Attach a File
From the transaction, you have two options:
Upload a new file — Use the Upload File tab to upload a single new document directly from that transaction screen.
Select an existing upload — Use the Select from Uploads tab to attach a file you've already uploaded. You can attach more than one file at a time by checking the box next to each file.
Notes on the Select from Uploads list:
A green Linked checkmark means the file is already attached to another transaction.
Click the preview icon at the end of a row to see a thumbnail of the file. Previews are only available for image files (.jpg, .png). PDFs and other file types will not display a preview.
Once you've attached a file, an image icon will appear next to the transaction description. Click the icon to view the attached files or unlink a file from the transaction.
