How to Review and Sign a Document in the Employee Portal

How employees find, review, and electronically sign a document their employer shared in the employee portal.

This article covers finding a document that requires your signature, completing Signature, Initials, and Date fields, and what happens after you submit. For general document sharing and uploading in the employee portal, see How to View and Manage Documents in the Employee Portal.

Available to: employees whose employer uses Patriot HR Software and has requested an electronic signature (e-signature)

If you are an employee and have any questions about a document your employer has asked you to sign, please contact your employer. Patriot Support staff cannot answer your questions via chat, email, or phone. We can only speak with authorized company contacts.

If your employer needs your signature on a document, such as an employee handbook, a policy acknowledgment, or an offer letter, the document will appear in your employee portal with a Review & Sign button. This article covers how to find, review, and sign that document.

Reviewing and signing documents is not available in the mobile app at this time.

Finding a Document That Needs Your Signature

  1. Log into your employee portal at www.mypatriot.com or www.payrolltime.com

  2. Go to My Info > Documents on the side navigation

  3. In the Shared With You section, look for a document with a Review & Sign button

    • Documents shared with just you show You in the Shared With column

    • Documents shared with everyone at your company show Companywide

  4. If your employer turned on email notifications, you'll also receive an email with the subject "Please sign: [Document Name]" and a Review & Sign Document button that takes you directly to your Documents page

Signing the Document

  1. Click Review & Sign next to the document

  2. Review the document. Any fields your employer needs you to complete are marked directly on the pages:

    • Signature fields

    • Initials fields

    • Date fields (these default to the current date)

  3. Click a Signature or Initials field, then choose how you want to create your signature:

    • Type your name and choose from a few signature styles

    • Draw your signature using your mouse or touchscreen

    • Upload an image of your signature

      a modal with add your signature that shows when a document is needed to be digitally signed.
  4. Click each Date field to confirm or update the date

  5. Once every field on the document is complete, click Submit Signature. The Submit Signature button will be disabled until all Signature, Initials, and Date fields are filled out.

Note: If you try to leave the signing page before completing every field, you'll see a "Leave without signing?" warning. If you leave without submitting, anything you've entered is not saved, and you'll need to start over the next time you open the document.

After You Sign

Once you submit your signature, the document's status updates to Signed in your portal. You can return to My Info > Documents at any time to download your own signed copy.

Your employer will be notified that you've signed the document and can view your signed copy. You will also receive an email notification that the document has been signed.

Signed documents cannot be altered by either the employee or the employer after the signature is submitted.
