How to Set Up Your Customer Statement Template

Learn how to setup your customer statement email template.

The Customer Statement Templates page is where you control how your customer statements look and what your statement emails say. On the Customer Statement Templates page you can upload your business logo, choose a brand color, choose how your business name appears, and set the default reply-to address, subject, and body for emailed statements. A live preview on the right side of the page shows how your customer statement will look with your saved settings.

To open the Customer Statement Templates page, go to Settings > Accounting > Email & Document Templates > Customer Statement Templates.

Branding Settings Are Shared Across All Document Templates

The logo, custom color, and business name display you set on the Customer Statement Templates page are shared with your invoice, estimate, and credit memo templates. If you have already set a logo and color for your invoices, your customer statements use the same logo and color automatically. If you change the logo or color on the Customer Statement Templates page, the change also applies to your invoices, estimates, and credit memos.

The email settings in the Default Statement Email Template section apply only to customer statement emails. Your invoice, estimate, and credit memo email templates are not affected.


How to Add or Change Your Logo on Customer Statements

  1. Go to Settings > Accounting > Email & Document Templates > Customer Statement Templates.

  2. In the Your Logo section, click Upload New Logo and choose an image file from your computer. Only image files are accepted.

Your logo saves as soon as the upload finishes. You do not need to click Save Settings for the logo. The Statement Preview updates to show your logo, and the same logo appears on your invoices, estimates, and credit memos.

To remove your logo, click Delete next to the logo, then confirm. Deleting the logo removes it from customer statements and from all other document templates.

Choose a Custom Color for Customer Statements

  1. In the Your Custom Color section, click the color box to open the color picker.

  2. Choose a color or enter a hex code, then click Select. Click Cancel to close the color picker without changing the color.

  3. Click Save Settings. The custom color is not saved until you click Save Settings.

A confirmation message appears when your settings are saved. The custom color applies to customer statements, invoices, estimates, and credit memos.

Choose How Your Business Name Appears on Customer Statements

If your business name and your tax filing name are different, you can choose which name appears on your customer statements.

  1. In the Business Name Display section, choose Business Name, Tax Filing Name, or Both.

  2. Click Save Settings. The business name display setting is not saved until you click Save Settings.

The Business Name Display section does not appear if your business name and tax filing name are the same.

Set Your Default Statement Email

The Default Statement Email Template section sets the email that is pre-filled each time you email a customer statement. You can still edit the email before sending each statement.

  1. In the Default Statement Email Template section, enter Your Email Address. This is the reply-to address; when a customer replies to a statement email, the reply goes to this address.

  2. Enter the Email Subject. The default subject is "Statement for [Customer Name] as of [Statement Date]."

  3. Enter the Email Body.

  4. Click Save Settings.

Add Customer and Statement Details to Your Email With Tags

Tags insert customer or statement information into your statement email automatically. Click in the Email Subject or Email Body where you want the information to appear, then click a tag. If you have not clicked into a field, the tag is added at the beginning of the Email Body. Patriot replaces each tag with the real value when you send a statement. The available tags are:

  • Customer Name

  • Customer First Name

  • Customer Last Name

  • Statement Date

  • Statement Period

  • Balance Due

  • Company Name

Preview Your Customer Statement

The Statement Preview on the right side of the Customer Statement Templates page shows a sample customer statement with your saved logo, custom color, and business name display. The Statement Preview is read-only. On a phone or small screen, the preview shrinks to fit rather than moving below the settings.
