Manager Settings: How to Designate Managers and Direct Reports

Learn how to designate managers and assign direct reports in Patriot Time and Attendance or HR Software, including how to add, view, edit, and remove manager assignments.

If you have Time and Attendance or HR Software, you can identify which employees are managers and assign employees to report directly to them. The Manager Settings page is a convenient place to view all managers and their direct reports and make bulk edits. This article explains what to know before you start and how to add, view, edit, and remove manager assignments.

Don’t have Time and Attendance or the HR software yet? Add it to your payroll by going to Settings > Company Settings > Add or Cancel Software.

What to know before you set up managers

  • You can only set up managers who are added as W-2 employees in the software.

  • You can assign permissions to managers if you have Time and Attendance or HR Software. For details, see How to Add or Remove Manager Permissions.


Where to find Manager Settings

The path depends on the software you subscribe to:

  • HR Software: go to Settings > Human Resources Settings > Manager Settings.

  • Time & Attendance: go to Settings > Time and Attendance > Manager Settings.

  • Both HR and Time & Attendance: go to Settings > Human Resources & Time Settings > Manager Settings.

You can also assign a manager on an employee's record. Go to Payroll > Employee List > {Employee name} > Employee Profile, then use the Current Position link on the side navigation.


How to add new managers

  1. Based on the software you subscribe to:

    • HR Software: Go to Settings > Human Resources Settings > Manager Settings. You can also assign a manager on the employee’s HR Info tab. See Using Employee Position History in Patriot HR for details.

    • Time & Attendance: Go to Settings > Time and Attendance > Manager Settings.

    • Both HR and Time & Attendance: Go to Settings > Human Resources & Time Settings > Manager Settings.

  2. On the Managers tab, click +Add New Manager.

    1. In Select Manager, choose the employee who has a managerial role in your company.

    2. In Select Employees, choose the employees who report directly to that manager.

  3. (Optional) Add HR or Time and Attendance permissions. See How to Add or Remove Manager Permissions for details.

  4. Click Save. The manager appears on the Manager Settings page with the number of direct reports assigned to them.


How to view employees assigned to a manager

  1. Based on the software you subscribe to:

    • HR Software: Go to Settings > Human Resources Settings > Manager Settings. You can also assign a manager on the employee’s HR Info tab. See Using Employee Position History in Patriot HR for details.

    • Time & Attendance: Go to Settings > Time and Attendance > Manager Settings.

    • Both HR and Time & Attendance: Go to Settings > Human Resources & Time Settings > Manager Settings.

  2. Click the Employees tab.

  3. View the manager assigned to an employee, or change it by clicking the manager dropdown and selecting from the list of designated managers.

How to edit employees assigned to a manager

  1. Based software you subscribe to:

    • HR Software: Go to Settings > Human Resources Settings > Manager Settings.

      • You can also assign a manager on the employee’s record: Payroll > Employee List > {Employee name } > Employee Profile > Current Position link (on the side navigation).

    • Time & Attendance: Go to Settings > Time and Attendance > Manager Settings.

    • Both HR and Time & Attendance: Go to Settings > Human Resources & Time Settings > Manager Settings.

On the Managers tab:

  1. Click the manager's name

  2. use the Direct Reports dropdown to add or remove employees

  3. Click Save.

On the Employees tab:

  1. Click the Manager dropdown next to an employee

  2. Select a manager from the Designated Managers list

  3. Changes save automatically.

How to remove a manager designation from an employee

  1. Based on the software you subscribe to:

    • HR Software: Go to Settings > Human Resources Settings > Manager Settings. You can also assign a manager on the employee’s HR Info tab. See Using Employee Position History in Patriot HR for details.

    • Time & Attendance: Go to Settings > Time and Attendance > Manager Settings.

    • Both HR and Time & Attendance: Go to Settings > Human Resources & Time Settings > Manager Settings.

  2. Go to Manager Settings using the path for your software.

  3. Find the manager on the Manager Settings page.

  4. Click the X under the Remove column to the right of the chart.

After you remove a manager, you can assign that manager's employees to the removed manager's supervisor or leave them unassigned with no manager.
