How Do I Complete a Performance Review for My Team?

Learn how to write, submit, and share performance reviews for your direct reports in the employee portal.

Coming Q4 2026

Available to: Managers assigned as reviewers in a Patriot HR performance review cycle, with completed employee portal access.

As a reviewer in a Patriot HR performance review cycle, you write a reviewer assessment for each employee assigned to you and share the final performance review with the employee. You write and share performance reviews in the Patriot employee portal. To open this help article from the employee portal, select the ? help icon next to the Performance Reviews header on the Team Reviews page.

The Team Reviews page

The Team Reviews page lists each employee you're reviewing, with their status and due date. An employee's status shows Reviewer Assessment (previously called Manager Review) once the employee submits their self-assessment and the performance review is waiting on you. Use the tabs to filter the list:

  • All Reviews

  • Not yet completed

  • Ready for your review: Employees who have submitted their self-assessment.

A banner on the Team Reviews page also shows how many performance reviews are ready for you and when they're due.

If you're also included in the cycle as an employee, a Your Review card on the Team Reviews page links to your own self-assessment.

How you know a performance review is waiting on you

  • Email: Patriot emails you when an employee submits their self-assessment. Your company's admin can also send you a performance review reminder email when you have reviewer assessments to finish. The reminder email includes the cycle name, the due date, and a link to the employee portal.

  • Team Reviews menu badge: While a cycle is active, the Team Reviews menu item shows a number badge with how many performance reviews are ready for you.

  • Past Due badge: Starting the day after the Reviewer Assessment Due date, the Team Reviews menu item shows a Past Due badge in place of the number badge if any of your performance reviews haven't been shared.

Step 1: Write a Reviewer Assessment for a Direct or Indirect Report

  1. Log in to your employee portal.

  2. Go to My Team > Team Reviews.

  3. Select Write review on the Team Reviews page, next to the employee's name.

  4. Read the employee's self-assessment answers, which appear beside your answer fields. You can start your reviewer assessment before the employee submits; the employee's answers appear once they submit.

  5. Answer each question. Your answers save automatically as you type, and you can select Save as draft to come back later.

    • Long-answer fields include a formatting toolbar for bold, italic, and underlined text, bulleted and numbered lists, and other formatting. Long-answer fields also include spell check. Your formatting is kept when the performance review is shared and in the PDF.

    • If the Reviewer Assessment Due date passes, a banner about the reviewer assessment deadline appears on the Team Reviews page. You can still submit and share until your company ends the cycle.

Each answer field shows whether the employee will see your answer. Questions in the section labeled "Reviewer & admins – the employee will not see this" are visible only to you and your company's admins.

Step 2: Submit Your Reviewer Assessment for Admins

You can submit a reviewer assessment after the employee submits their self-assessment and you've answered every question.

  1. Select Submit.

    • After you submit a reviewer assessment, your company's admins can see it, but the employee can't see it until the performance review is shared.

  2. Choose Share Now to share the performance review with the employee right away, or Share Later to share it after you've had a chance to meet or review it.

    • If you choose Share Now, a confirmation window explains that sharing a performance review can't be undone and that you can't edit the review afterward. Select Share Review to share, or Cancel to keep the review unshared.

    • To make changes to a submitted reviewer assessment before sharing, select Unsubmit & edit.

If an admin sends the employee's self-assessment back

Your company's admin can send an employee's submitted self-assessment back to the employee for edits before the performance review is shared. When an admin sends a self-assessment back:

  • If you already submitted your reviewer assessment, Patriot unsubmits it. Your answers are kept and reopen for you to edit, and admins can't see your answers again until you resubmit.

  • If you only saved a draft, your draft stays as is.

  • The performance review no longer counts as ready for you until the employee resubmits their self-assessment. You can submit your reviewer assessment again after the employee resubmits.

Step 3: Share a Performance Review with Your Team Member

After you submit a reviewer assessment, you can share the performance review with the employee. Sharing a performance review is permanent: you can't unshare or edit the review after you share it.

To share a submitted performance review:

  1. Go to My Team > Team Reviews.

  2. Select Review and Share next to the employee's name.

  3. Select the Share Now button at the bottom of the review.

  4. Read the confirmation window. The confirmation window explains that sharing a performance review can't be undone and that you can't edit the review afterward.

  5. Select Share Review to share the performance review. To leave the review unshared, select Cancel.

After you share the performance review, the page confirms the review was shared, and Patriot emails the employee that their review is ready. The review shows "Waiting for [employee] to acknowledge" until the employee acknowledges it. The status then changes to Acknowledged.

If a submitted reviewer assessment isn't shared, your company's admin can also share the performance review with the employee.

How to Download a Team Member's Performance Review as a PDF

You can download a team member's performance review as a PDF after you share it.

  1. Go to My Team > Team Reviews.

  2. Open the review and select Download PDF.

  3. Choose Save as PDF in your browser's print window. Your PDF includes all questions, including the questions only reviewers and admins can see.

How to View Your Team's Past Performance Reviews

To view your team's performance reviews from a past cycle, log in to the employee portal, go to My Team > Team Reviews, and choose the cycle from the cycle dropdown. Past cycles are read-only.
